Job Description and Qualifications

Position Title : Office Secretary / Permit and General Administration, Indonesia

Reports to : Regional Business Director,

Under direction of Project Permit Manager

Organization : Regional Business,

Gasification Project Execution

Date : September 2020 Location : Jakarta, Indonesia

Position Summary

Reporting to the Regional Business Director, the incumbent is responsible to assist the Business and Project Director in the areas of administrative support and assure that administrative function is performed effectively throughout the company.

The position holder is required to efficiently perform secretarial tasks. In running the daily works, she / he should be able to take initiative, make a timely and properly decision to support the business of the company in the secretarial area.

In addition to the position holder also required to cover crucial role of General and Permit administration which is responsible to provides administrative support to Office needs and Project Permit Managers to ensure timely and complete execution of projects permit administration.

The position holder based is at the Jakarta office of the company.

The position holder also responsible to supervise the receptionist and the office general assistant.


No of Direct Reports : 2

Other Factor : Close coordination with other General Affairs and Office Administration peers.

Principal Accountabilities :

Office Secretary

  • Perform secretarial duties for Directors which include but not limited to : Filing, Typing, Meeting and Travel Arrangement
  • Administer petty cash for Jakarta Office
  • Assist Department Heads (Finance, HR, Project, Procurement) in secretarial duties
  • Support expatriates with Visa and travel arrangement
  • Supervise, coach and guide the receptionist and office general assistant to effectively perform their daily role in company
  • Acting as main contact for the company to liaise with WTC2 office building management
  • Permit and General Administration

  • Communicate schedules and requirements to field permit team members
  • Receive, track, and save Permits and other project related paperwork
  • Coordinate contractors request paperwork, ensure all contractor requirements are met and filed into the appropriate company file documentation system
  • Participate in project conference calls if required by Project Permit Manager
  • Gather all law and regulations related to business, investment, environmental in Indonesia, including but not limited of local government regulations
  • Perform small scope of translation works necessary to support business and project execution team
  • Other duties as assigned
  • Travel as deemed necessary
  • Qualifications :

  • Bachelor's degree, preferably in Economic, Law, Secretarial or a related field with 3+ years of experience
  • Have sufficient knowledge of business, investment and environment laws and regulations in Indonesia
  • Must be comfortable working in a fast-paced work environment
  • Self-starter, capable of executing against a challenging mix of objectives rather than a known list of tasks
  • Experienced working across multiple cultures and countries
  • Strong communication and interpersonal skills
  • Strong English fluency in both oral and writing
  • Computer literacy skills is a must
